Job Description

Our client is specializing in oil products transportation and trading in Mediterranean, Black Sea and Caspian region. The company has 9 years of successful operations.

They offer to a candidate a good opportunity to further develop the skills through new insight and industry experience.

On behalf of our client we are seeking to recruit for the position of an Office Manager.

Summary

Overall supervision of office by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.

Maintaining office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Essential Functions

·         Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.

·         Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities.

·         Negotiates the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.

·         Supervises the maintenance of office equipment, including copier, fax machine, etc.

·         Participates as needed in special department projects

·         Arranging booking of transport tickets and accommodation

·         Preparing letters, presentations and reports

·         Liaising with staff, suppliers, insurance agents and other providers

·         Other relevant duties

Position requirements:

·         Bachelor degree in Economics or Business Administration is a plus

·         Knowledge of basics of Accounting/Book keeping

·         Minimum 2 years experience in office management

·         Fluency in Russian, English and Greek languages, both written and verbal

·         Strong knowledge of computer programs such MS Office and Outlook, and office machinery
